How we handle your data on music-booking.com – for artists, venues & early supporters.

Welcome to music-booking.com (“we”, “us”, “our”). We value your privacy and are committed to protecting your personal data. This Privacy Policy explains how we collect, use, share, and protect information when you use our website, apps, and services that connect artists and venues. It also includes specific rules for our Artists’ Promotion Program (the “Promotion Program”).

1) Who we are (Controller)

2) What data we collect

  • Account data: name, stage/venue name, email, profile photo/logo, short bio, links (website, socials), contact details.
  • Booking data: availability, event details, messages, offers, confirmations, pricing agreed between artist and venue.
  • Payment data: payout/pay-in identifiers and transaction metadata processed by payment partners; we do not store full card numbers.
  • Usage & device data: IP address, browser, device, timestamps, pages/actions (for security and analytics).
  • Marketing & consent data: newsletter opt-ins, Promotion Program consent/withdrawals, cookie choices.
  • Media you upload: images, audio/video links, event posters, set lists (if provided).

2a) Address data for Merch & Promotion (Early Sign-Up Bonus)

If you participate in our early sign-up promotion and choose to receive free limited-edition merch, we may collect your postal address for the sole purpose of sending the promotional items.

  • What we collect: full name, street address, postal code, city, country.
  • Purpose: shipping promotional items (t-shirts, tote bags, or similar bonuses).
  • Legal basis: your consent (GDPR Art. 6(1)(a)).
  • Sharing: we do not share your address with third parties except postal/shipping services needed to fulfill the delivery.
  • Retention: your address is deleted within 30 days after the items are shipped, unless legal retention duties apply.
  • No other use: your address will not be used for marketing, ads, or any unrelated purpose.
  • Withdrawing consent: email info@music-booking.com to withdraw or request deletion at any time.

3) Special section: Artists’ Promotion Program

If you opt in (or are invited and accept), we may use your public profile elements (name/stage name, images, logos, bio, links, key performance details) to promote you to venues and on our owned channels (site, emails, social pages, ads, press/sales materials).

  • Legal basis: Your consent (GDPR Art. 6(1)(a)) for promotional use; legitimate interest (Art. 6(1)(f)) for platform security, fraud prevention, and basic discoverability.
  • How to withdraw: Email info@music-booking.com with subject “Promotion Opt-Out”. We will stop new uses within 10 business days. Materials already printed, posted, or paid may remain until naturally retired.
  • What continues after opt-out: Basic profile visibility within the platform for booking functionality (contractual necessity) unless you delete your account.

4) How we use your data

  • Provide the service (contract): account creation, discovery, messaging, booking workflow, notifications, payouts/receipts.
  • Promotion (consent): if you joined the Promotion Program, showcasing your profile as described in Section 3.
  • Safety & integrity (legitimate interest): fraud prevention, abuse detection, platform security, troubleshooting.
  • Improvement (legitimate interest/consent): analytics to understand usage and enhance features (non-essential cookies only with consent).
  • Compliance (legal obligation): taxes, accounting, legal requests.
  • Marketing (consent): newsletters and campaigns; you can unsubscribe anytime.

5) Legal bases (GDPR Article 6)

  • Art. 6(1)(b) Contract: running accounts, bookings, and core features.
  • Art. 6(1)(a) Consent: Promotion Program; newsletters; non-essential cookies/trackers; address collection for merch.
  • Art. 6(1)(f) Legitimate interest: security, fraud prevention, service improvement, essential operational communications.
  • Art. 6(1)(c) Legal obligation: retention for tax/accounting or regulatory purposes.

6) Sharing your data

  • Between artists & venues: we share the minimum necessary profile and booking details when you engage with each other (e.g., requests, offers, confirmations).
  • Service providers (processors): hosting, email delivery, analytics (with consent), payment processing, anti-fraud, CRM. These providers act under data processing agreements.
  • Shipping services (for merch): only if address data is provided for delivery purposes.
  • Marketing channels (with consent): if you’re in the Promotion Program and we run ads/posts that feature your profile elements.
  • Authorities: only when required by law or court order.

7) Cookies & analytics

We use cookies to run the site and (with consent) to measure performance and marketing effectiveness. Non-essential cookies are disabled until you accept them in our cookie banner.

  • Essential cookies: security, session management, load balancing.
  • Analytics cookies (consent): aggregated usage metrics to improve UX.
  • Marketing cookies (consent): ad reach and conversion measurement for campaigns and Promotion Program content.

8) Payments

Payments are handled by integrated payment processors. We receive transaction status/metadata to reconcile bookings, issue receipts, and detect fraud. We do not store full card details.

9) Data retention

  • Account & booking data: kept for your account’s lifetime and typically up to 3 years afterward (claims/records), or longer if legal obligations require.
  • Promotion Program assets: retained while you participate. After opt-out, we stop new uses and phase out prior materials in a commercially reasonable time; backups/logs may persist per normal cycles.
  • Address data for merch: deleted within 30 days after shipping is completed.
  • Marketing consents: stored until you withdraw.

10) Your rights (EU/EEA)

  • Access, rectification, and erasure (“right to be forgotten”).
  • Restriction and objection (including to legitimate-interest processing).
  • Data portability.
  • Withdraw consent at any time (affects future processing only).
  • Complain to your authority (Austria: Datenschutzbehörde).

11) International transfers

If providers are outside the EEA, we rely on safeguards such as EU Standard Contractual Clauses or adequacy decisions. Copies of relevant safeguards can be requested at info@music-booking.com.

12) Security

We use HTTPS, access controls, encryption at rest where applicable, least-privilege access, and regular monitoring. No method is 100% secure, but we continuously improve safeguards.

13) Children

Our services are not intended for persons under 16. If you believe a minor provided personal data, contact us for removal.

We may update this Privacy Policy over time. The latest version will always be posted here with the effective date above.
